			<content:encoded><![CDATA[<p>Ok so your company have been using Accpac for years now, multiple users have come and gone and no one on staff has actually had any training.</p>
<p>I ask you &#8216;Do you really think you are getting the most out of your system?&#8217;.</p>
<p>With remote access these days, some of our clients don&#8217;t get visits from us very often, but it&#8217;s these visits that are truly valuable.</p>
<p>Sometimes the most valuable changes to a system are just made by me observing a client behaving badly. I don&#8217;t mean to sound rude but you have an expensive accounting package, it&#8217;s not a $300 out of the box solution. Accpac exists to make your life easier. You need to question it daily to get the most out of your system.</p>
<p>For example yesterday I mentioned to a client &#8216;why don&#8217;t you print cheques from Accpac?&#8217;,the response I got was &#8216;because we hand write them&#8217;. Now we all had a good laugh at the time and I don&#8217;t mean to offend the client but that answer is not acceptable. We are now implementing printed cheque runs. Sounds simple but this small change will make someones day easier and free up time for more pressing issues.</p>
<p>The definition of insanity: doing the same thing over and over again and expecting different results . Albert Einstein. Your accounting system is no different. The most common response I get from a client as to why they are processing something the way they are is &#8216;that is how we have always done it&#8217;. My response is always &#8216;that doesn&#8217;t mean it is right&#8217;.</p>
<p>I had another client recently who always mocked up an amount to balance the bank reconciliation every month. It&#8217;s was probably inherited from when a clearing account used to clear the balances out but this has not been in use for years. I was on site for another issue and I questioned this and no-one could explain why it was still done. So we changed it and now bank recs can be printed out of the system alleviating the need for another report.</p>
<p>I would find it hard to work in many organisations if I could not have input to the process. I live for looking at things and seeing if we can do it better. That&#8217;s my job as a consultant to help you see through the bog of your everyday work and make it better. So next time you think you don&#8217;t need us to come on site and have a chat, think again, show us a procedure that is really bugging you and let us see how the Team at Envisage could do it better, or book in for some refresher trainer to get the most our of your Accpac!.</p>

			<content:encoded><![CDATA[<h3>Hot Tip #1 &#8211; Processing on Day 1 of a new Financial Year</h3>
<h4>Creating the New Year</h4>
<p style="text-align:justify;">On the first day of a new year you may not be ready to close your General Ledger but you will certainly want to continue processing new transactions in your submodules.</p>
<p style="text-align:justify;">For example, you would like to continue raising sales invoices in Accounts Receivable or Order Entry.</p>
<p style="text-align:justify;">To do this you will need to make sure that the new financial year has been created in your Fiscal Calendar so that ACCPAC is aware of the new Fiscal Periods.</p>
<p style="text-align:justify;">To do this you must have access to the Fiscal Calendar in Common Services:</p>
<ul>
<li>1. Sage ERP Accpac</li>
<li>2. Common Services</li>
<li>3. Use the toolbar navigational arrow keys to move to the last fiscal Year on record</li>
<li>
4. To create the New financial year click on the “New Page” Icon<br />

</li>
<li>5. Select Save</li>
<li>6. The New Year has now been created.</li>
</ul>
<div class="warning-box">If you are creating this prior to the new year, then make sure that you lock all the fiscal periods until required.  It is very common for users to incorrectly enter financial year and periods during this transition period.<span class="close">x</span></div>
<h3>Hot Tip #2 &#8211; Auto reversing GL Journals</h3>
<p style="text-align:justify;">If you use auto reversing journals in Period 12 of the current financial year, please note the reversing journal created will error.  This is because ACCPAC can not post to future financial years.</p>
<p style="text-align:justify;">Once year end has been completed you will be able to post any error batches created by auto reversing journals.</p>
<h3>Hot Tip #3 &#8211; Turn off Auto Posting</h3>
<p style="text-align:justify;">Since Sage ERP Accpac 5.4, General Ledger Batches have been able to be posted Automatically.  If you have not run year end and you have not turned this feature off then all batches posted in the Submodules that relate to the new year will create error batches in the GL.</p>
<p style="text-align:justify;">Under each sub module goto:</p>
<ul>
<li>Setup > GL Integration</li>
</ul>
<p style="text-align:justify;">And change the “Create GL Transactions by” flag from “creating and posting a new batch” to Creating a new Batch.  You can change this back once year end is complete.</p>

			<content:encoded><![CDATA[<p style="text-align:justify;">Many times our Accpac customers ask us to track who actually entered a transaction.  The Audit Fields are fine until a utility such as database dump/load is used and these fields often get updated to the user who ran the utility eg ADMIN, losing an important audit trail.</p>
<p style="text-align:justify;">There is an automatic “entered by” field in Sage Accpac 5.6  OE orders, Sage Accpac AR invoices and Sage Accpac PO– can be found in the finder’s settings / column selection (at the very end of the list).<br />
Seems useful in the finder, also can print on reports – eg order confirmations, invoices, POs Carries through to the OE Shipment and OE Invoice screens as well (I think it retains the original Order entry person).<br />
It also carries down to AR and AP – and for any direct AR/AP invoices the field captures the entry user as well. Again, could be printed on Invoices, etc.</p>
<p>It is a hidden field initially you need to open the finder:</p>
<ol>
<li>Goto Settings.</li>
<li>Columns.</li>
<li>Locate the “Entered by” field and Click include (this will move it to the right hand side – the “Selected Fields”).</li>
<li>Click &#8220;OK&#8221;. Then it will be visible on the finder screen</li>
